Policies

The Aspen Clinic has the following policies in place for all patients in all Aspen Clinic locations:

No Refunds/ Exchanges Policy

The Aspen Clinic has a NO REFUND and NO EXCHANGES policy that applies to all store locations and the online store. There will be absolutely no refunds or exchanges given for services, office fees, products, or any form of purchase. Customers assume full responsibility for all products or services rendered. All sales are final.

You agree that you will pay for all products you purchase and that the Aspen Clinic may charge your payment method for any products purchased and for any additional amounts (including cancellation fees) that may be accrued by or in connection with your patient account. You are responsible for the timely payment of all fees and providing a valid payment method for all products and services.  Please feel free to talk to any Aspen Clinic staff member about any questions you may have regarding products or purchases.

Cancellation Policy

Aspen Clinic is committed to providing all of our patients with exceptional care. When a patient cancels without giving enough notice or simply fails to show up, they prevent another patient from being seen.

 The Aspen Clinic implemented a non-cancellation policy in 2011 which enables us to better utilize available appointment times for patients, as well as decrease waiting time. If you are unable to keep your appointment, we ask for you to notify us 24 hours in advance, or we will charge a $25 non-cancellation fee for the time reserved if you do not show up or call 24 hours in advance to cancel or reschedule. If an emergency or obligation should occur, we ask that you notify us as soon as possible and it will be documented in your chart.  This $25 fee will be added to your visit price and cannot be waived – if more than one fee is accrued in your account, you may be required to pay this fee over the phone before scheduling a new appointment.

Prescription Policy

Please be aware that lost, misplaced, or stolen prescriptions can NOT be replaced. There is also NO GUARANTEE that you will be written a prescription, this is based on the medical advice of our physicians and what they deem is best for your health. All medications prescribed are controlled substances, which are required to be presented to the pharmacist on paper and cannot be called in or submitted electronically. All prescriptions require refill authorization.

Body Composition Analysis Policy

Please be aware the Louisiana State Board of Medical Examiners requires a full body composition analysis to be documented monthly in order for the physician to prescribe appetite control medication as a treatment for obesity.  This testing is a mandatory component of our program. There is an annual $35.00 fee, which covers all tests completed during appointments and weigh ins for an entire year period. Fees cannot be waived and must be renewed annually, no exceptions.
